1. PURPOSE OF THE PRIVACY POLICY
The purpose of this Privacy Policy is to provide you with information concerning: the processing of your personal information via the WeProov mobile app (hereinafter referred to as "the App"), operated by PROOV GROUP, Simplified joint stock company, with share capital of € 480,000, headquartered at 20 B rue Louis-Philippe 92200 Neuilly-sur-Seine; Tel: +33 (0)184808081; registered with the Nanterre Trade and Companies Register under number 811989581, represented by Gabriel TISSANDIER, Managing Director (hereinafter referred to as "PROOV GROUP" or The “Processor”); the measures taken to ensure the security of your personal information ; your rights regarding the processing of your personal information, and how to exercise them.
2. PURPOSE(S) OF DATA PROCESSING
PROOV GROUP processes your personal data on behalf of the Data Controller (your Employer/Insurer/Administration/Rental company, Convoying company...), to enable you to benefit from the functionalities of the App within the scope of inspecting an item, and to facilitate the handling of the identified damage.
3. CATEGORIES OF PERSONAL INFORMATION PROCESSED
The following categories of data may be processed, depending on the form you are using to inspect your item:
- personal identification information: first and last name, telephone number, personal or business address, personal or business e-mail address, electro-handwritten signature ;
- identification details issued by public authorities: driving license, vehicle registration document, insurance policy references, etc.;
- electronic data: characteristics of the mobile device you use to carry out the inspection ;
- data relating to your professional sphere: business sector, employer ;
- means of transport/geolocation: vehicle registration, vehicle characteristics and photos, GPS details (geolocation is only required when the WeProov report is issued);
- Tracking data: events recorded while connected to the App, time-stamp details.
4. PERSONAL INFORMATION RETENTION
Data recorded in the App are kept for the maximum duration defined in the contract between the Data Controller and the Processor, apart from connection data (History, logs) which are retained for a maximum one-year period from the date of collection.
5. COMMUNICATION OF YOUR DATA
The recipients of the data are the person or organization that has mandated you to carry out the inspection (employer, administration, rental company, insurance company, etc.), and where applicable, PROOV GROUP's teams dedicated to customer/user support and damage assessment, as well as our partners providing repair services.
Furthermore, the Processor may be called upon to communicate your personal data: (i) to partners/providers in the context of service delivery; (ii) to comply with a legal obligation, request, or court order; (iii) in the event of an emergency, to ensure or preserve the safety of individuals, protect the public or the vital interests of the Company.
Apart from the above, the Processor undertakes not to transfer or communicate your information to third parties for any purpose whatsoever, for commercial and advertising purposes, without your prior authorization.
6. DATA LOCALIZATION
The App and all the associated data are hosted in data centers located within the European Union. If PROOV GROUP relies on service providers located outside the EU for services other than hosting the App Platform, data transfers are covered by appropriate guarantees (adequacy decision or standard contractual clauses and appropriate technical and organizational security measures).
7. SECURITY OF YOUR PERSONAL DATA
PROOV GROUP implements appropriate technical and organizational measures, in accordance with the identified risks, to ensure the security of your data. For instance, PROOV GROUP has appointed an Information Systems Security Manager and a Data Protection Officer (dpo@weproov.com); PROOV GROUP defines and updates policies and procedures relating to information systems security and data privacy; your data is encrypted in transit and at rest, and is accessible only to authorized personnel within the scope of their positions; security audits of the App are carried out annually...
8. EXERCISING YOUR RIGHTS
According to the regulations in force, you are entitled to certain rights regarding the processing of your personal information carried out by the Processor through the WeProov mobile Application. These rights include: (i) right of access; (ii) right to rectification; (iii) right to erasure; (iv) right to data portability; (v) right to restrict processing; (vi) right to object.
